Qwoted connects journalists and media creators with expert sources, brands, and PR professionals, using AI to make smarter matches. We are a small, fast-moving team based in New York, and our Operations function keeps finance, people, legal, and compliance running smoothly behind the scenes.

The Engagement

We are looking for an experienced independent bookkeeper and administrator for about 20 hours per week. You would split your time roughly evenly between bookkeeping and operations administration. This is a remote contract role open to candidates based in the United States, with flexible hours and some overlap with Eastern Time for check-ins.

Bookkeeping (about 10 hours per week)

• Reconcile Stripe payouts and prepare categorized transaction files for review before journal entries are posted


• Import and categorize corporate card transactions in Ramp and QuickBooks Online


• Manage accounts payable in BILL, including coding bills and supporting foreign-currency vendor payments


• Support month-end close: bank and card reconciliations, prepaid expense amortization, accruals, and contractor spend reclasses by department


• Keep vendor records and supporting documentation organized and audit-ready

Operations Administration (about 10 hours per week)

• Coordinate employee and contractor onboarding and offboarding paperwork and checklists


• Maintain vendor and contractor contract records, including renewal dates


• Keep internal trackers, calendars, and shared drives current


• Support general administration of the organization

What You Bring

• 3 or more years of bookkeeping experience, ideally with SaaS or subscription businesses


• Strong working knowledge of QuickBooks Online; experience with Stripe and BILL is a strong plus


• Familiarity with accrual accounting and month-end close


• Comfort with Google Workspace; experience with ClickUp, Ramp, or DocuSign is helpful


• Excellent attention to detail and sound judgment with confidential financial and personnel information


• Clear, proactive written communication

$25 - $35 an hour
